Media Relations Resources for Exhibitors
NBAA offers a variety of media relations resources for Exhibitors at NBAA2014 to make sure their messages reach show Attendees and members of the industry press.
NBAA Press Headquarters
The NBAA Press Headquarters will be located in the Orange County Convention Center and will open on Monday, October 20, 2014, at 8:00 a.m., one day before NBAA2014 opens.
NBAA provides shelf space for your press materials in the NBAA Press Headquarters at the Orange County Convention Center on a first-come, first-served basis. Exhibitors are responsible for the shipment of press materials, as well as the maintenance of their shelf space. Please do not ship materials directly to the NBAA Press Headquarters; instead, kindly hand deliver them on site. You may place the kits on your shelf space any time on Monday, October 20. Please remove any press materials you wish to keep by Thursday, October 23 at 3:00 p.m., as those remaining after that time will be discarded.
Press Conference Scheduling
Press conferences will be held at NBAA2014 on Monday, October 20 (Press Day); Tuesday, October, 21; and Wednesday, October 22. Press conference rooms will be in close proximity to the NBAA Press Headquarters at the Orange County Convention Center. NBAA requests that no events be scheduled during the Opening General Session scheduled for Tuesday, October 21 from 8:30 - 10:00.
A schedule of press conferences will be posted on the NBAA2014 website and a final schedule will be posted in the NBAA Press Headquarters. Press Conferences are scheduled to provide maximum press coverage without conflicts. Exhibitors also may schedule invitation-only press events at their Booths, in hotels or at other locations, although we encourage use of official NBAA press facilities whenever possible to avoid conflicting events. Please alert NBAA as to where and when your press conferences will be held so that we can provide proper notice to members of the press and Attendees.
Note: Only Exhibitors at NBAA2014 may hold press briefings at NBAA2014 and, effective with NBAA2014, Co-Exhibiting Companies may not reserve press conference rooms.
Exhibitors may reserve a maximum of two Press Conference time slots. Press conferences are scheduled in 45-minute time slots that begin on the hour. The last 15 minutes before the next hour are set aside to prepare for the next hour's press conferences. For instance, if a press conference is scheduled for 10:00 am, the Exhibitor may begin setting up at 9:45 am. The press conference must end by 10:45 am so that set up can begin for press conferences taking place in the next hour.
To schedule a Press Conference at NBAA2014, please complete the Press Conference Room Reservation Form and forward the completed form to NBAA’s Samantha Lohse at email@example.com with payment of $600 per Press Conference.
Press Conference Room Setup
NBAA will provide press conference rooms arranged to seat approximately 80 people theater style. At the head of each room, a raised dais will be positioned with one skirted table, five chairs and a podium with a microphone. There will be three table microphones on the dais. A pipe-and-drape backdrop will be installed behind. In addition, the room will be equipped for audio/visual presentations including an LCD projector, monitor and screen with dress kit. Skirted tables for press kits or other information are provided at the back of the room. Should you wish to prepare a sign for the podium, the dimensions are 22 in wide by 14 in high. We do not recommend that you serve food during press conferences due to their brevity and because food is provided for the convenience of the press in the NBAA Press Headquarters throughout the day.
Press Conference Room Charges
There is a $600 fee per time slot for use of the press conference rooms. This includes all audio/visuals stated above.
Press conference fees are charged upon receipt of the NBAA2014 Press Conference Request Form. All accounts must be paid in full in order to maintain your press conference reservation. Once a press conference is scheduled, no refunds will be issued for cancellations.
Press Conference Signage
Signs provided by NBAA will direct members of the press and Attendees to the NBAA Press Headquarters and press conference rooms, but not to individual events. A sign posted outside each press conference room will list all companies that have scheduled press conferences on a given day. In addition, an easel will be located outside each press conference room should you wish to provide your own sign during your scheduled press conference time. The NBAA2014 logo will appear on the front of the podium. Should you wish to prepare a sign for the podium, the dimensions are 22 in wide by 14 in high. If you require any signage hung from the pipe and drape backdrop behind the dais, you must coordinate with Freeman, the official service contractor for NBAA2014, to have them place your sign and replace the NBAA2014 banner following your press conference. Information on ordering signage will be included in the Exhibitor Service Kit, in the Exhibitor Service Center.
Inviting the Press
Your company is responsible for inviting the press to attend your event; however, NBAA will publish the press conference schedule on the NBAA2014 website before the show, and will post the schedule on site in the NBAA Press Headquarters.
NBAA maintains a roster of press registered for NBAA2014, which will be available to Exhibitors in Excel format in the Exhibitor Service Center. This roster will be updated continuously as new press registrations are received. Exhibitors may use this roster for marketing their announcements or attendance at NBAA2014 only. Exhibitors are obligated to protect the privacy of press data, and to observe all applicable laws related to privacy and unsolicited email marketing.
NBAA does not produce a show daily; however, three NBAA-authorized Convention Dailies – Show News, NBAA Convention News and Flight Evening News – are published daily at NBAA. (Please note that these three publications are the only officially authorized show dailies at NBAA2014.) Your company may submit information to the daily show publications, which are especially appreciative of advance news because of tight scheduling during NBAA2014.
