Static Display Contract Terms, Conditions, Rules & Regulations
As an Exhibitor at NBAA2013, you must agree to the NBAA2013 Exhibit Contract Terms, Conditions, Rules & Regulations and all terms in the NBAA2013 Exhibit Application/Contract and Exhibitor Service Kit.
Note: All Exhibitors and Co-Exhibitors at NBAA2013 must be Members in good standing of NBAA. Non-Member companies wishing to exhibit, or wishing to participate as Co-Exhibitors at NBAA2013, must join NBAA before exhibit space can be assigned. Exhibitors not paid in full will not be assigned exhibit space. All Exhibitors and Co-Exhibitors must be current on all accounts with NBAA and paid in full for their exhibit space in order to occupy space at the Las Vegas Convention Center or at Henderson Executive Airport.
By completing the NBAA2013 Exhibit Application/Contract, Exhibitor agrees to abide by these Terms, Conditions, Rules & Regulations, and all amendments thereto and decisions of NBAA. The Application/Contract for Exhibit Space becomes a binding contract between NBAA and Exhibitor upon NBAA's acceptance of Exhibitor's submitted Application/Contract and issuance of a confirmation and invoice to Exhibitor.
NBAA reserves the right:
- To prohibit any exhibit or part thereof which, in its sole opinion, violates this contract or in any other way, is not suitable to, or in keeping with, the character and spirit of the convention.
- To close an exhibit which, in its sole opinion, violates this contract during the course of the convention.
- To refuse to permit an Exhibitor which, in its sole opinion, violates this contract to participate in one or more future NBAA events by reason thereof.
- To change the floor plan (including, but not limited to aisle space), without notice, in order to comply with fire, safety and accessibility regulations or to provide, in its exclusive judgment, a safer, more satisfactory, attractive and successful convention.
Direct selling at the Static Display, canvassing and/or distribution of publications/marketing materials/show dailies outside of assigned exhibit space, including all space-to-space distribution is also prohibited. Canvassing and solicitation, except by exhibiting companies, are prohibited within 50 miles of the NBAA Business Aviation Convention & Exhibition.
Certificate of Insurance
Prior to move in, all Exhibitors are required to provide NBAA with a Certificate of Insurance evidencing the following:
- Commercial General Liability
- Worker's Compensation/Employers Liability
- Aircraft Hull Coverage.
Static Display Layout Plans
Exhibitors must develop scale plans of their displays and submit the plans to NBAA for final approval. Exhibitors who do not submit plans to NBAA will be required to have their displays set up at the direction of NBAA. NBAA can assist Exhibitors having trouble developing scale plans. The layout should illustrate aircraft positioning with respect to neighboring Exhibitors and aisles. Also, chalets/tents/structures, mockups, etc. must be factored in to your individual layout. Exhibit layouts must be submitted to NBAA no later than Friday, September 27, 2013.
Demonstration and Presentation Flights
Aircraft displayed on the Static Display are prohibited from conducting demonstration or presentation flights.
Types of Exhibits
Types of exhibits at the NBAA 2013 Business Aviation Convention & Exhibition are limited to those products or services directly related to the design, operation or servicing of business aircraft. NBAA reserves the right to deny space to any company whose products and/or services are not relevant to business aviation.
Displays Must Fit Within Purchased Space
All display materials and demonstrations must be confined to the limits of the Exhibitor's purchased Display Space at the Static Display. Display materials include but are not limited to aircraft, chalets/tents/structures, air conditioning units, ground support equipment and dedicated electrical equipment such as generators. Therefore, please plan for an appropriate size exhibit space. NBAA reserves the right to restrict exhibits that become objectionable because of noise, method of operation or for any other reason.
- Chalet structures must remain a minimum of 15 ft from the edge of the Exhibitor’s purchased exhibit space.
- RVs, trailers and motor coaches must remain at least 10 ft from the edge of the Exhibitor’s purchased exhibit space.
- NEW FOR 2013: Fencing must remain at least 5 ft from the edge of the Exhibitor’s purchased exhibit space. To prevent the fence from being blown over, all fence must be constructed/installed with base supports of at least two-thirds the height of the fence.
Exhibitors are provided one badge without charge for each 10 ft by 10 ft Static Display space reserved, up to a maximum of 100 badges. Badges beyond the one per exhibit space quota may be ordered in advance for $100 per badge. If an Exhibitor utilizes the services of an Exhibitor-Appointed Contractor (EAC) during official show hours, the exhibiting company must provide Exhibitor badges for those personnel.
Exhibitor Service Kit
An Exhibitor Service Kit for all Exhibitors will be available to all NBAA2013 Exhibitors who are paid in full by mid-July 2013.
NBAA2013 is a business event. Children under the age of 12 are never permitted into the Static Display – under any circumstances. Children ages 12 to 17 will be permitted into the Static Display during official exhibit hours only, provided that they register, pay appropriate fees and are accompanied by an adult at all times. Children ages 12 to 17 WILL NOT be permitted in the Static Display during installation and teardown. NBAA will not be held responsible by or for any cause whatsoever.
Each Exhibitor shall be solely responsible for safeguarding its materials, equipment and displays at all times. NBAA will employ general security when the exhibit halls and Static Display of Aircraft on Henderson Executive Airport are closed. NBAA shall bear no responsibility for loss, theft, damage, injury or destruction of an Exhibitor’s property, by or from any cause whatsoever. Exhibitors expressly release NBAA and its directors, officers, employees, Members, guests and agents, from all claims for such loss, theft, damage, injury or destruction, or for loss of good will (whether or not in relation to any property). Exhibitors shall be required to obtain insurance covering losses such as theft and damage to property in amounts satisfactory to NBAA.
Each Exhibitor shall hold harmless, protect, and defend NBAA, and its directors, officers, employees, Members, guests, and agents from and against any and all claims, losses, injuries and damages to persons or property, governmental charges or fines and attorneys fees arising out of or caused by the installation, removal, maintenance, occupancy or use of the exhibition premises, or any part thereof, by Exhibitor, its officers, employees, agents or subcontractors, or arising out of or caused by Exhibitor's participation in exhibition activities. Exhibitors shall comply at all times with the Rules & Regulations supplied by NBAA, which may be revised periodically. Failure by an Exhibitor to follow such Rules & Regulations will constitute a breach of contract. In addition, by accepting the NBAA2013 Exhibit Application/Contract, Exhibitors agree to comply with NBAA’s interpretation of its Rules & Regulations. Complete Rules & Regulations for Exhibitors will be included in the Exhibitor Service Kit.
Static Displays must be fully staffed during the official exhibit hours.

Exhibitors will be admitted to the Static Display at 7:00 a.m. each Show day for early preparations of Displays only. No activities, except Display preparations, are to be scheduled in the Exhibit areas at any time other than official Exhibit hours. NBAA reserves the right to make changes to the exhibit hours schedule with advance notice.
By submitting the NBAA2013 Exhibit Application/Contract, Exhibitors agree to the NBAA2013 Contract, Terms, Conditions, Rules & Regulations and all terms in the Exhibit Space Contract/Application and Exhibitor Service Kit. In fairness to all participants, Exhibitors at the NBAA2013 Static Display found in violation of NBAA's Rules & Regulations will be required to make necessary changes on site at the Exhibitor's expense. If satisfactory changes cannot be made, NBAA reserves the right to terminate all rights to the exhibit space, and the Exhibitor will forfeit all fees paid. Violating Exhibitors will be ineligible for the indoor Priority-One, -Two or -Three Lotteries for NBAA2014.

Any person who attends an NBAA convention, conference, seminar or other program grants permission to NBAA, its employees and agents (collectively "NBAA") to record his or her visual/audio images, including, but not limited to, photographs, digital images, voices, sound or video recordings, audio clips, or accompanying written descriptions, and, without notifying such person, to use his or her name and such images for any purpose of NBAA, including advertisements for NBAA and its programs.
