Exhibitor General Information

Dress Code

Due to the professional nature of the business aviation industry, dress for NBAA2011 is business attire. Please note that this applies to all Attendees and Exhibitors, as well as to all personnel working on behalf of Exhibitors in their Booths.

Exhibitor Literature Showcase

As a service to Exhibitors, NBAA2011 will feature the NBAA Exhibitor Literature Showcase, where Exhibitors may display advertising materials that do not fit the criteria for our Publications Bins. The Literature Showcase will be located at the Las Vegas Convention Center, and will be available for Exhibitors’ advertising material, including promotional brochures and pamphlets only. Periodical publications are not permitted and will be discarded by NBAA with no refunds. NBAA will provide an attendant to receive shipments, stock and maintain the Literature Showcase and to oversee general inquiries and leads. Literature pockets are available for $325 each and a limited number of header panels are available for $550 each.

All Companies must submit a sample of their material with their completed Application and payment in full to NBAA’s Margie Morgan at mmorgan@nbaa.org.

Exhibitor Service Desk

NBAA provides designated areas at both the Las Vegas Convention Center and Henderson Executive Airport where Exhibitors can find support from NBAA2011 preferred and exclusive service suppliers for additional services ordered for their Exhibits. This includes services such as electricity, rigging, furniture, catering and audio-visual equipment.

The Exhibitor Service Desk at the Las Vegas Convention Center will be open during the following hours:

Exhibitor Service Kit

An Exhibitor Service Kit for both indoor Exhibits and the Static Display of Aircraft will be available to all Exhibitors who are paid in full by mid-June 2011. Order forms for the following services will be included in the Kit:

Meeting Rooms

NBAA provides meeting rooms at the Las Vegas Convention Center at a nominal charge and on a first-come, first-served basis for Exhibitors requiring additional meeting space during Show days. Charges for audio/visual and/or catering are the responsibility of the Exhibitor. Please note that NBAA is not responsible for providing signage or promotion of meeting.

Music

NBAA has entered into licensing agreements with the American Society of Composers, Authors and Publishers (ASCAP) and Broadcast Music, Inc. (BMI) and will pay their fees, based on attendance, to allow the use of copyrighted, recorded music throughout the Las Vegas Convention Center and Static Display. Please note that live music is not included in our licensing agreements. If an Exhibitor plans to use live music, they must be licensed by ASCAP and/or BMI, and the Exhibitor must send supporting documentation to NBAA.

Pets

For insurance reasons and to maintain the professional appearance of NBAA2011, please be advised that no pets, with the exception of service animals, will be permitted in the Exhibit Hall or on the Static Display of Aircraft.

Photography

Any person who attends an NBAA Show, Conference, Seminar, Forum or other program grants permission to NBAA to use and publish his/her image or likeness collected in connection with the program for any usual and customary purpose of NBAA, including advertisements for NBAA and its programs.

Publication Bins

As a service to Exhibitors and Publishers of trade magazines, NBAA offers an area of bins to display publications at the Convention Center and at the Static Display. Publication Bins will be available for periodical publications only. Advertising material, including promotional brochures and pamphlets, is not permitted and will be discarded by NBAA with no refunds. NBAA provides an attendant to receive shipments, and to stock and maintain the Publication Bins. Exhibitors and Publishers may purchase Bins at a cost of $650 per Bin.

All Companies must submit samples of their publications to NBAA's Maureen Cameron for review before Bins are reserved. Shipping information will be available in the Exhibitor Service Kit.

Show Guide & Directory of Exhibiting Companies Profiles

The NBAA2011 Show Guide & Directory of Exhibiting Companies contains pertinent information relative to Exhibits, Education Sessions, social gatherings, shuttle bus service and other events at NBAA2011. Exhibitors are provided one complimentary listing per Booth or Static Display Space reserved. Additional listings are available at a cost of $325 each. Exhibitors are listed alphabetically in both the print and online editions of the Show Guide with their Booth and/or Static Display Space Number(s), Company address, phone and fax numbers, web and e-mail addresses and a 50-word description of the Company's products or services, as well as a maximum of five Buyers Guide categories per Exhibitor. Exhibiting Companies will be sent log-in information to access the Show Guide database to update their Company’s information online.

Please keep in mind:

  • Exhibitors receive one complimentary Show Guide listing per Exhibit application received.
  • The official name of the on-site publication for NBAA2011 is the NBAA 2011 Show Guide & Directory of Exhibiting Companies. Publications with other names (i.e.; Expo Guide or Fair Guide) are not authorized for the NBAA2011 Show by NBAA.
  • Exhibiting Companies must be Members in good standing (i.e., paid in full for all accounts with NBAA) in order to have Show Guide listings appear in the print and online editions of the NBAA2011 Show Guide.
  • Each Exhibiting Company and Co-Exhibiting Company must have separate log-in credentials for their Show Guide listings, is responsible for entering and reviewing their Company's Show Guide information online by July 30, 2011, and must pay appropriate fees to NBAA (as required).

Any person who attends an NBAA convention, conference, seminar or other program grants permission to NBAA, its employees and agents (collectively "NBAA") to record his or her visual/audio images, including, but not limited to, photographs, digital images, voices, sound or video recordings, audio clips, or accompanying written descriptions, and, without notifying such person, to use his or her name and such images for any purpose of NBAA, including advertisements for NBAA and its programs.
